Admin User

A licensed user with full account management privileges — including creating and managing Host and Guest Users, configuring organisation-wide settings, and viewing analytics across all users. Admin Users have all the capabilities of a Host User plus these administrative controls.

Analytics

The platform section that tracks usage and business value: number of meetings, session durations, participant counts, and estimated savings per session — including travel distance avoided, time saved, cost, and CO₂ emissions reduced.

Asset

Any file stored on the Avatour platform: 360° videos, 2D videos, images, snapshots, and PDF files. Assets can be uploaded, downloaded, shared, and organised into Workspaces. AI features such as Face Blur, Transcription, Topics, and Summary can be applied per asset.

Camera Operator App

Operator App

The mobile application installed on the 360° camera that enables the on-site operator to start live meetings, record offline sessions, and manage camera settings. Also initiates AI features such as Topics and Summary at upload.

Checklist

A structured list of inspection or audit items uploaded to a Workspace as a report template. The AI uses the Checklist to automatically pre-fill a Checklist Report based on recorded session content.

Checklist Report

An AI-generated report structured against a Checklist Template and pre-filled using the audio transcription of session recordings. Intended as a draft for human review and sign-off. Exportable as PDF.

Collaborator

A registered Avatour user invited to a Workspace. Multiple Collaborators can access a Workspace simultaneously and independently — reviewing assets without being in a shared meeting. Assigned either Viewer or Editor access.

Collaborator Editor

A Collaborator with full Workspace control: uploading and downloading assets, managing meetings, creating reports, and modifying settings — equivalent to the Workspace owner. Requires a Host User licence.

Collaborator Viewer

A Collaborator with read-only Workspace access: viewing assets and joining meetings but not uploading or changing settings. Free with a Guest User account.

Face Blur

An AI-powered privacy feature that automatically detects and obscures faces in live and recorded 360° and 2D video. Can be applied per asset or enforced as an organisation-wide policy by Admin Users. Widely used for GDPR and data privacy compliance.

Geo Location

GPS Tagging

When enabled, GPS coordinates from the 360° camera are embedded in recorded assets as metadata. A Map view in the Workspace then displays asset locations on a map or satellite image.

Guest User

A free registered Avatour user (email and password). Guest Users can view assets in Workspaces they have been invited to and join meetings. When SSO is enabled, Guest accounts are automatically created for users signing in with a corporate domain email.

Host User

The primary licensed (paid) Avatour user type. Host Users can start Live Capture meetings, upload assets, create and manage Workspaces, and access the Web Console. A Host User licence is required to act as a Collaborator Editor in another user's Workspace.

Live Capture

Live 360° Meeting

A real-time 360° video meeting in which the on-site Camera Operator App streams live 360° video to all remote participants simultaneously. Each participant independently controls their own view within the 360° scene. Sessions can be optionally recorded to the cloud for later review.

Lock Focus

A host-only meeting control that temporarily aligns all participants' views to the host's current viewpoint. Used to direct the group's attention to a specific area of the 360° scene.

Map

A Workspace view that displays the geographic locations of GPS-tagged assets on a map or satellite image. Available when assets contain GPS metadata captured by the 360° camera.

Meeting

An Avatour video conference in which participants join a shared space to review live or recorded 360° content together. Up to 20 interactive participants and 10 Spectators (30 total) can join a single meeting. Meetings are organised within Workspaces.

Meeting Participant

Anyone who joins an Avatour meeting. Participants can independently control their 360° view, use chat, take snapshots, add notes, and share their webcam or screen. Up to 20 interactive participants can join per meeting.

Note

Annotation

A comment attached to a specific moment in time and viewpoint within a recorded video or snapshot. Notes have a Type (Observation, Issue, Action, or Recommendation) and a Status (Open to In Progress to Resolved) for tracking follow-ups. Shareable via direct link.

Point-of-View Indicator

POV Indicator

A visual overlay showing where each meeting participant is currently looking within the 360° scene, displayed as a labelled circle with the participant's name. Can be toggled on or off during a meeting.

Quick Capture

Offline Recording

A recording mode that captures 360° video without an internet connection, storing footage locally on the camera for upload once connectivity is restored. Any 360° camera — not just Avatour-compatible models — can be used for Quick Capture.

Report

An exportable PDF document generated from the Notes, Topics, AI-Generated Summary, and/or Transcription associated with one or more assets. Users choose which elements to include. Reports can also be generated against a Checklist Template from the Workspace.

Single Sign-On

SSO

An authentication method allowing users to log in to Avatour using their corporate identity provider (e.g. Microsoft Entra ID or Okta) via SAML 2.0. All authentication is delegated to the customer's identity provider — Avatour does not manage passwords. Available on Business and Enterprise licences.

Snapshot

A still image captured from a live stream or recorded video during a meeting or workspace review. Snapshots can be 360° or 2D and are saved as Assets in the Workspace. A SuperFreeze Snapshot captures a higher-resolution 360° image (approximately 6K).

Spectator

A meeting participation mode for observers who want to follow along without interacting. Spectators cannot use a webcam or microphone but can communicate via text chat. Up to 10 Spectators can join per meeting in addition to the 20 interactive participants.

Spotlight

A meeting tool that places a visible pointer in the 360° scene, visible to all participants and the camera operator. Used to draw the group's attention to a specific object or area on screen.

Summary

AI-Generated Meeting Summary

An AI-generated structured overview of a recorded session, produced by analysing the audio transcription. The Summary appears in the asset's side panel and can be edited before being included in a Report.

Topic

AI-Generated Topic

An AI-generated label identifying a key subject discussed at a specific moment in a recording, derived from the audio transcription. Topics appear in the video timeline for easy navigation to relevant moments in a long session.

Transcription

An AI-generated full text transcript of the audio in a recorded session, time-stamped and linked to the video timeline. The foundation for Topic and Summary generation. Can be included in exported Reports.

Avatour Turnkey Kit

The complete hardware bundle for conducting Live Capture meetings and Quick Capture recordings: a compatible 360° camera with the Operator App pre-installed, extendable pole, tripod, Bluetooth headset, and extended battery pack. Available for purchase or as a Hardware-as-a-Service (HaaS) lease. Shipped globally.

Web Console

The browser-based management interface for Host and Admin Users, accessible at avatour.live. Provides access to Workspaces, Assets, Meetings, Analytics, and Account Settings.

Workspace

An organisational unit grouping related Assets, Meetings, Collaborators, and Reports — typically organised around a site, project, customer, or supplier. Multiple Collaborators can access a Workspace simultaneously and independently, without being in a shared meeting.
