How do I clean the Avatour Turnkey Kit for GMP, laboratory or other controlled environments?

This guide explains how to prepare and clean the Avatour Turnkey Kit 3.1 for use in a controlled environment, such as a GMP manufacturing area or a laboratory.

This guide applies to both live meetings and offline recordings, which use the same equipment. For live meetings, this guide assumes the camera connects to the site's WiFi.

Avatour hardware is not a medical device and is not supplied sterile or validated for cleanroom use. The host site's SOPs and Quality Assurance requirements always take precedence over this guide.

What goes into the controlled area

Bring only the elements you need:

  1. Pilot PanoX V2 360° camera
  2. Tripod
  3. External battery: Ulanzi battery or Telesin battery stick, depending on your kit
  4. Extendable stick, if your kit has a separate one
  5. One audio device:
    • Shokz headset, best for noisy environments
    • NoxGear clip-on speaker, best for quieter environments or several people near the camera

What stays outside

  • Kit case
  • Mobile WiFi router (not needed when you connect to the site's WiFi or record offline)
  • The kit's USB charger and cables, unless you use them to power the camera from the mains (see below)

Powering the camera from the mains

The camera can also be powered from a mains socket using any USB charger and a USB-C cable. The easiest option is often a charger already approved for use in the controlled area. Mains power removes the battery time limit, but it limits mobility, because the camera must stay within cable reach of the socket. It suits stationary recordings or meetings, for example observing one process step from a fixed position.

If you use mains power:

  • check with the site that you may use its power sockets in the controlled area
  • if you bring a charger or cable in from outside, clean it like the other elements
  • route the cable so it does not create a trip hazard

Before you start

  1. Contact the site's QA or hygiene team in advance. Confirm:
    • whether the camera is permitted in the areas you plan to show or record
    • which entry procedure applies
    • which disinfectant is approved
    • whether the headset can be worn with the site's protective clothing. If not, use the clip-on speaker.
  2. For live meetings, confirm the camera can connect to the site's WiFi. If possible, run a short test meeting before entering the controlled area. Offline recordings don't need a connection while recording; you can upload them afterwards.
  3. Fully charge all elements before entry, unless you power the camera from the mains. The camera's internal battery lasts approximately 30–45 minutes; with the external battery, total runtime is approximately 3 hours.
  4. Assemble the kit and pair the audio device with the camera before cleaning, so you don't need to handle the components more than necessary afterwards.

How to clean each element

  • Camera housing, tripod, battery and stick: wipe with a low-lint wipe moistened with the approved disinfectant. Observe its contact time and let everything air-dry.
  • Camera lenses: first remove dust with an air blower. Then wipe gently with a lint-free lens wipe or microfiber cloth lightly moistened with 70% isopropyl alcohol, in a circular motion from the center outwards, and let it air-dry. If the site requires a different disinfectant, check its compatibility with the lens coating before use.
  • Shokz headset: wipe the hard surfaces with the approved disinfectant. After air-drying, wipe the skin-contact areas with a clean, dry cloth to remove residue.
  • NoxGear speaker: wipe the housing and clip with the approved disinfectant and let it air-dry.
  • USB charger and cable brought in from outside (mains power only): unplug before cleaning. Wipe with a low-lint wipe moistened with the approved disinfectant, keeping liquid away from the plug and connectors, and let it air-dry before plugging in.
Option A: Travelling kit (moves between sites)
  1. Follow the site's material-entry procedure. This typically means cleaning all elements as described above before entering the controlled area.
  2. Clean all elements again on exit, before the kit goes back into its case and travels to the next site.
  3. Document each cleaning if the site requires it, using the site's own log or form.
Option B: Permanent onsite kit (stays at one site)
  1. Agree with the site's QA or hygiene team who is responsible for cleaning, and where the kit is stored and charged.
  2. Add the kit to the site's equipment cleaning schedule or records if the site's procedures require it.
  3. Clean all elements before and after each use as described above, then return the kit to its designated storage.
  4. Document each cleaning if the site requires it, using the site's own log or form.

Don'ts

  • Do not spray disinfectants or other liquids directly onto any element.
  • Do not dip or soak any element in liquid.
  • Do not autoclave or use fogging/vapor decontamination unless the manufacturer has confirmed compatibility.
  • Do not use bleach, hydrogen peroxide, sporicides, acidic liquids or other harsh agents on the lenses unless the manufacturer has confirmed compatibility.
  • Make sure no liquid enters ports or connectors, such as the USB-C port or the charger plug.
  • Do not clean the charger or cable while plugged in.
